# Formvico user guide

<!-- version: 2026-11-08.38 -->

Open /login/ at formvico.com and choose owner verification in the local application. Complete this step on the computer running Formvico. In the local /webtest/, you must be signed in as the current owner with actual TOTP verification completed within the last 5 minutes. If necessary, first finish private administrator verification; then return to the cloud access request, refresh verification, confirm the test scope and choose Sign in to the cloud test. On returning to formvico.com, open /test/. This is not customer registration with an email or password. You do not enrol another TOTP key in the cloud.

Enter account passwords directly with their provider. Enter the administrator TOTP code only in the private local Formvico test form. This step does not pass contacts, provider passwords or the private authenticator key to the cloud test.

When current verification expires, return to /login/ and repeat private verification of the current owner in local Formvico. A lost authenticator key is not recovered in the cloud. A denied or interrupted change is not retried automatically after sign-in; review and confirm it again yourself. After use, choose Sign out in the cloud test and wait for confirmation. Signed-out access to /test/ and its data is denied. Cloud sign-out and local Sign out of CRM are separate steps.

Complete the entire sign-in handover in the same browser. Chrome and the integrated browser have separate sessions. On /login/, choose Verify the owner in the local application, then Open private verification. If a current code for the saved FV-… account is required, enter it privately and choose Verify; do not set up Authenticator again. Return to the cloud access request, choose Refresh access verification, confirm the synthetic test only and choose Sign in to the cloud test. Never copy the handover address or code into chat. The available test and Android 0.1.2 with invented data do not establish readiness for a paid production service.

## Contacts and responses

In Contacts, search by name, company or email. Filter by product, campaign and status. Open a contact to see their details, form responses, notes and prepared reply.

In the cloud Inquiries view, search for an invented record or filter by status. Open its details, read form answers, add a note or change its status. Reopen a record that has changed concurrently. Campaign drafts let you save a name, offer, goal, audience, text and budget note; drafts remain unapproved and unpublished. Analytics shows synthetic records only, and Account describes this controlled test. These are not real imports, paid advertising results or provider account management. Account in the cloud test shows test information only; it does not edit a real customer profile.

## Sort by submission date

Sort by the date the enquiry or questionnaire was completed, newest or oldest first. The submission date can differ from the date Formvico imported the contact.

## Refresh contacts

Wait for a refresh to finish and check the displayed status. If expected responses are missing, check the selected campaign, form and filters. Manage connection problems in Propojení a import.

## Reply by email

Prepare a reply in the contact details and select a template. Review the recipient, subject, text, signature and attachments in the preview. Send a manual reply using Odeslat. Provider acceptance does not by itself confirm delivery.

Open the private test on this computer at /webtest/ after signing in as the owner at /live/. It uses separate invented records. It does not open public registration or a paid service at formvico.com. Customer administration, automation and subscription also require current administrator TOTP verification. This test performs no real emails, payments, refunds or ads.

The private web test is available after the owner signs in. Synthetic test: only test data and a simulated provider are used. No real emails are sent.

Choose a template language, edit the subject and text, then save the template. Template saved. Review a new preview before activation. Unsaved changes: preview and previous local confirmation were cleared.

In the rule preview, review all language variants, conditions, sender, design and attachments. Tick the review box and approve to activate only the test rule; turn it off in the same section.

Choose a fixed test scenario and receive a test questionnaire. A reply is created only for an active rule. Process the queue using its separate test button. Test queue processed. Results are simulated.

Open the manual test reply preview, review the recipient, content and attachments, and tick the confirmation. Then approve that exact message for the queue.

Manual and automatic messages share this history. Provider acceptance does not confirm delivery. The provider outcome is uncertain. Automatic retry is held for reconciliation.

Download the stored test PDF from message details. The name, type, size and digest are checked against the saved attachment before download.

This test quota is simulated; it is not the provider’s actual usage. Sending capacity is low or exhausted. Waiting messages remain in the queue.

Uncertain outcomes are held for reconciliation without automatic retry.

Customer administration, Automation / Sent and Subscription in /test/ belong to the same controlled test and require the currently verified owner. They use synthetic data only. A CRM note sends no email, an erasure request deletes no real account and a test access change does not alter billing. Automatic and manual replies and PDF attachments are simulated. Subscription history and test changes are not evidence of collection, a refund or authority for a paid service. No real provider accounts, messages, payments or ads are changed. Account in the cloud test shows test information only; it does not edit a real customer profile.

In the cloud test, first review the preview and approve the test rule, then receive the selected test questionnaire. Receiving a scenario with an active approved rule automatically starts processing the simulated reply. A manual test reply is also processed automatically after you review its exact preview and approve it for the queue. Check the result in Sent and refresh the view if needed. The “Process test queue” button is an optional manual check of the test queue; it is not required to start this simulation normally. An uncertain result is not retried automatically. No real email is sent, and this is not a production autoresponder that operates with the computer switched off.

## Prepare a campaign

Prepare a campaign with AI or manually. Add the offer, copy, image, audience, budget, dates and form. Save the draft and review its current revision before taking further action. Saving a draft does not launch advertising or spend money.

Draft only: saving never approves a budget or publishes an advertisement. Controlled synthetic owner test. Public registration, paid access and provider connections are disabled.

In the isolated cloud test, you edit and save campaign drafts manually. There is no active connection to ChatGPT, Claude or providers, and ads are not published. Saving a manual draft approves no budget or spending. General AI guides describe separate available connections; they do not confirm that those connections are enabled in this test.

## Connect ChatGPT and Claude

In Campaigns, connect ChatGPT or Claude using your own account with that service. Authorise access only to your own Formvico workspace. Review AI drafts in the application; AI cannot approve spending for you. If connection is not offered, use the manual editor. In the connected chat, describe the offer, area, language and budget and ask it to save a draft in Formvico. Revoke access in connection settings when needed. Complete confirmation in the sign-in window, then return to the application. If AI sign-in fails, the connection is incomplete. Verify saving against the actual draft in the application; report errors to support without passwords or access URLs. Revoking access stops the assistant from continuing to use your account. Saved drafts are not thereby approved or published.

## Subscription and invoices

Můj účet shows your subscription and available PDF invoices. Check the price, currency and applicable VAT before paying; the base price is 10 USD monthly excluding VAT. Verify cancellation of future renewal in your account, including the access end date.

The subscription view in the private test uses only synthetic history and simulated results. It is not evidence of a real payment or authority for production access. Test changes do not modify the provider account. Verified financial documents and links for real customers are unavailable here.

The overview itself changes no price or renewal setting and makes no payment. Turning off future renewal differs from immediate cancellation. Access depends on currently verified collection and the paid period; an earlier evidenced date is shown separately as history. Pausing collection does not suspend the workspace. A refund request is not a completed refund, and erasure is a separate request. Profile changes do not rewrite issued invoices. Changes require exact owner confirmation and fresh authentication when needed. An uncertain outcome is not retried automatically.

## Your data and privacy

In Můj účet, request an export of your own data or erasure. Follow the request status; receipt does not mean processing is complete. Terms and Privacy explain data processing and document retention.

## Application and demo

The product website at formvico.com offers a controlled synthetic test for the verified owner only: /login/ opens sign-in and /test/ the test application. Local /live/ remains the main application on this computer, /webtest/ a separate private test and /demo/ a standalone demo. Public customer registration, paid operation and provider connections are not launched. Verification requires the local application to be running; this version does not promise operation with the computer switched off. Translated manuals do not replace qualified review of legal documents before sale.

## Connect email and Meta

Gmail is optional. Use an available Gmail, Microsoft Outlook or SMTP connection for your own or company domain. In Propojení a import, also select your own Meta Page and forms. Treat a connection as complete only after the application confirms it.

## Use on a phone

Android TEST 0.1.3 · ARM64

The native build, manifest, contents and test signature have been verified. Installation and operation on a physical phone have not been verified. Production signing is not configured, and there is no store listing. iOS is deferred, and no IPA is available.

The embedded offline demo contains three invented records and only simulates manual replies. The signed-in mode reads shared synthetic contacts, account information and analytics from the same test web application under the owner’s verified identity. It grants no access to other real customer data, CRM administration, campaigns, payments or providers. No real reply is sent.

On the computer, open formvico.com/mobile/connect in the browser where the owner is already signed in. Enter the phone’s code, compare the request and explicitly approve it. The server checks the current owner identity, fresh multi-factor authentication (MFA) and CSRF protection. It issues a separate read-only mobile session; its access credential stays only in the phone’s memory. The session lasts at most five minutes and never beyond the original MFA verification. Sign in again after backgrounding or expiry. Signing out clears the local session; server revocation is confirmed only after a successful response. Remote revocation is not confirmed while offline.

The controlled test uses verified manual approval on the owner’s computer and a separate mobile session with read-only access to shared synthetic data. Production customer sign-in, account recovery, individual device management and real customer data are unavailable. The access credential stays only in memory for at most five minutes and never beyond the owner’s fresh multi-factor authentication (MFA). Moving to the background clears the session and displayed data; a new sign-in is then required. Explicit sign-out clears the local session, but server revocation is confirmed only by a successful response; remote revocation is not confirmed while offline. Sign-in requires the app’s screen protection, but its operation and other native behavior have not been verified on a physical phone.

## Workspace owner

The account owner manages their workspace, connections and billing. Contact support if permissions are unclear. Access to one workspace does not give access to other customers' data.

This controlled synthetic test uses test data. It sends no real emails, starts no payments or ads and makes no actual changes with providers.

First sign in as the current owner in the main application using the same browser. Open /webtest/ and select “Customer administration”. For first-time setup, click “Start private TOTP setup”. Owner sign-in alone does not replace TOTP verification.

Click “Show private QR”. The QR is generated directly in the local browser without an external QR service or CDN. Open Google Authenticator on your phone, use + to add an account, choose to scan a QR code and scan the displayed code. Then click “Hide QR” in Formvico.

As an alternative to QR, click “Show key” and manually add the account to your authenticator using this key. Select time-based TOTP: 6 digits, a 30-second interval and SHA1 if the app asks for these settings. Then click “Hide key”.

During new setup, Formvico shows a unique name under “Exact account name in your authenticator”. The QR uses the same name; for manual setup, copy it exactly from “Account name for manual setup”. In Google Authenticator, select only the entry with this exact name. Do not choose a generic Google entry or old TEST entries, guess the most recently added account or try every code in turn. This name also remains available during later verification. Older accounts may lack it; do not guess it or reset an existing factor because it is missing.

Enter the current authenticator code only directly in the “Six-digit verification code” field in Formvico and click “Confirm setup”. Scanning the QR or manually adding the key alone does not complete setup.

If your authentication factor is already configured, enter the current code and select “Verify”. Do not start a new setup. This interface does not reset an existing factor and does not provide lost-factor recovery.

After a page reload, an incomplete setup may remain open, but its one-time key and QR are no longer available and Formvico does not retrieve them again. If you did not add the account to your authenticator, explicitly click “Cancel setup” and then “Start private TOTP setup”. This cancels only an incomplete setup, never an already configured factor.

The QR contains the secret key. Do not send the QR, key or verification codes in chat, write them to logs or take screenshots of them. The QR and displayed key are removed on confirmation, cancellation, error, expiration, page exit or interface unmount; this does not remove the stored authentication factor.

CRM verification remains valid for at most 5 minutes. Then enter a new current code and click “Verify”. An unfinished or rejected change is never retried automatically; review it after verification and explicitly confirm it again if needed.

CRM is for the verified B2A platform owner only. Every read and change requires a server-verified session, MFA and authentication within the past 5 minutes. An ordinary customer profile does not authorize access to other accounts.

The customer list, detail and history use pagination. Registration, access, CRM details, manual notes and communication, history and change audit are displayed.

CRM details. Notes and communication. Saving records information only. It does not send email.

Manage access: Suspend access, Restore access. Type the exact account ID. Changing access does not change payments or automatic renewal.

Create erasure request. The request does not delete the account. Processing and required document retention are separate steps.

Changes save atomically with a revision and audit entry. A stale form cannot save; refresh the data first. The audit excludes note text. History shows recorded events only; missing past events are not inferred.

The subscription view in the private test uses only synthetic history and simulated results. It is not evidence of a real payment or authority for production access. Test changes do not modify the provider account. Verified financial documents and links for real customers are unavailable here.

Customer administration, Automation / Sent and Subscription in /test/ belong to the same controlled test and require the currently verified owner. They use synthetic data only. Subscription history and test changes are not evidence of collection, a refund or authority for a paid service. No real provider accounts, messages, payments or ads are changed. Account in the cloud test shows test information only; it does not edit a real customer profile.

## My details

In Můj účet / Moje údaje, edit your name, company, company and VAT IDs, address and phone, then choose Uložit moje údaje. Reload if concurrent changes are reported. Profile edits do not rewrite issued invoices; contact support about changing your sign-in email.

## Support

Support: České brány, s.r.o., company ID 08567271, VAT ID CZ08567271. Email ceskebrany@gmail.com or call +420 792 354 110. Describe the action and what happened. Never send passwords, verification codes or access keys.

## Campaign results

In Výsledky kampaní, select the account, date range and campaigns. Compare spend, impressions and reach in the charts and table using the same currency and period. Missing data is not zero. Do not add unique reach across days or campaigns.

Account in the cloud test shows test information only; it does not edit a real customer profile.

## Workspace access changes

If workspace access is suspended, sign in again and open Můj účet. Account, invoices, export and requests remain separate from workspace functions. Suspension alone does not cancel a subscription; ask support about the reason and resolution.

## Safe use

Sign in only at the correct application address. Enter passwords and account codes for Google, Microsoft, Meta, ChatGPT or Claude directly with that provider. Enter the TOTP code for private CRM administrator verification in the corresponding private Formvico form. Never send passwords, private keys or verification codes to a chat or support. Report suspicious sign-ins or payments to support and the relevant provider. Before a sensitive action, check exactly what you are confirming.

Continue only if you started this request yourself at formvico.com.

You can still choose Sign out after verification expires. Other work remains locked. If server sign-out cannot be confirmed, the view stays locked and the request is not retried automatically or by clicking again.
